Project Coordinator and Governance Advisor

My client who is based in Mairangi Bay was established in 2005, to provide cost effective support to industry associations, committees, Boards and other entities. They ensure their clients have the management support, resources, tools and infrastructure to achieve their vision.
While organisations need to operate smoothly, they often face challenges relating to time, in-house expertise or resourcing fixed term projects. Their service enables clients to minimise resource and office infrastructure costs.
 
The primary purpose of this position is to provide advice and to support our clients in the successful delivery of projects, industry services, compliance management and other business outputs (in a range of sectors).  In particular collaboration and facilitation of the development of codes of practice and submissions, working with a range of viewpoints to achieve positive outcomes.  This position also has Board Governance and Project Co-ordinator type responsibilities for allocated clients, responsible for advice to Clients and overseeing the quality-of-service delivery by the ONZL team.
 
This position is a part-time permanent role and is based on the North Shore.
 
Some responsibilities include:
Actively contribute to the goals of the clients through:

  • Providing quality advice
  • Drafting papers, reports, codes and polices
  • Co-ordinating input into papers, reports, codes and policies
  • Interacting with external parties on behalf of the Client/working group

Governance Advisor and Project Co-ordination
Providing project, working group or client leadership when requested or support clients by:

  • Ensuring quality of service delivery by the ONZL team for allocated clients
  • Acting as the project manager for assigned projects
  • Acting as the governance advisor/executive director for assigned clients
  • Documenting project requirements and tracking progress against agreed deliverables
  • Ensuring that projects/groups remain focused and meet the desired project outcomes
  • Building relationships and ensuring that all members have an opportunity to contribute
  • Ensuring that the relevant systems and websites have been are updated with information about the various projects/clients
  • Identifying and mitigating risks and issues.

Organise and Facilitate Meetings

  • Co-ordinate, prepare and circulate meeting papers for working groups and assigned Board/Council meetings
  • Arrange and facilitate meetings via audio/video conference and face to face
  • Provide information for the meeting e.g. reports, clarification of issues discussed or decisions taken in previous meetings
  • Write meeting minutes
  • Record and monitor action points from meetings
  • Co-ordinate and record voting on decisions and issues.

Qualifications, Experience, Skills and Knowledge

  • Experience in a similar role (project coordination, perhaps some governance knowledge)
  • A critical thinker
  • Enjoy working with a large amount of detailed information
  • The ability to think broadly and focus on solutions
  • Strong written and oral communication capabilities
  • ICT industry experience advantageous
  • Relevant tertiary qualification preferred e.g., law, project management 
  • Facilitation experience – leading/organising groups to achieve a common goal
  • Project co-ordination experience
  • Proven document editing/proofing experience
